Privacy

Hotseat is committed to maintaining the privacy, integrity and security of any personal information about our users. Hotseat collects different types of information about our users: use of Hotseat’s activities and gameplay (“activity information”) and limited personal information (“personal information”). This Privacy Policy (“Policy”) explains how we use the information we collect, how we protect personal information, and what, if any, information we disclose. “Personal information” for purposes of this Policy means information that identifies you, such as your name or email address.

What Personal Information We Collect

When you sign up for a Hotseat User Account, you are required to provide an email address (which will be used as your login ID) and to create an account password (collectively the “Registration Information”).

Your User Account information and all activity information is sent wirelessly from your Hotseat User Account to our database.

When you elect to invite a guest to join Hotseat, we collect the information you provide about those individuals such as their name and email address. If they become a Hotseat User we will collect the same personal information discussed here.

When you elect to have Hotseat find time on your calendar to book break activities, we also extract and upload the start and end times of your appointments and upload them to our server for scheduling. We do not collect or store title, location data, or description of any event.

How We Use Your Personal Information

Hotseat uses your personal information to:

  • Provide you with the Service;
  • Analyze site usage and improve the Service;
  • Deliver to you any administrative notices and communications relevant to your use of Hotseat;
  • Provide you with updates regarding Hotseat;
  • Perform internal market research, project planning, troubleshooting problems, and to detect and protect against error, fraud or other criminal activity; and
  • Enforce the Hotseat Terms of Use.

At no time is your personal activity information available to your employer.

How We Use Activity Information

Hotseat collects users’ activity information to understand and improve the Hotseat experience, including available activities and challenges. We also use aggregate activity information to understand how different people use Hotseat. This is why we ask you for some optional demographic and job-related information: age, gender and type of work.

Disclosure to Third Parties

Hotseat may share your personal information with companies who provide services to Hotseat such as information processing, order fulfillment, product delivery, customer data management, customer research and the like. These companies are obligated to protect your information.

We may also disclose information about you if we determine that disclosure is reasonably necessary to enforce our terms and conditions or protect our operations or users or if we are required to do so by any applicable law, rule, regulation, subpoena or other legal process. Additionally, in the event of a reorganization, merger, or sale we may transfer any and all personal information we collect to the relevant third party.

Use of Aggregated Anonymous User Data

Hotseat may disclose non-personally identifiable aggregated user data, such as aggregated gender, role, and usage data gathered, to:

  • Your employer;
  • Organizations approved by Hotseat that conduct consumer research into health and wellness; and
  • Users of the Service for purposes of comparison of their personal health and wellness situation relative to the broader community.

Your Right to Delete Your Data

If you would like to cancel your Hotseat account you may do so by emailing [email address pending] . When you request cancellation of your account, your personally identifiable information will be deleted, including but not limited your email address, name, photo(s), and friends list. Archival copies of your account information that exist within our back-up system will be deleted in accordance with our normal back-up expiration schedule.

Following cancellation or termination of your account, Hotseat can continue to utilize de-identified and anonymized historical data associated with your use.

Email Communications from Us

We may provide our registered customers with weekly summaries, invitations to challenges, and other updates. You have the option to opt-out of receiving our communications by changing your settings in “Notifications” within the app or by following any subscription instructions in our emails. Opting out in this manner will not end transmission of service-related emails, such as challenge invitations and service alerts.

Data Security

We use a combination of firewall barriers, encryption techniques and authentication procedures, among others, to maintain the security of your data and to protect Hotseat accounts and systems from unauthorized access.

When you register for the Service, Hotseat requires a password from you for your privacy and security. This password is stored in an encrypted fashion on our systems.

It is important to understand that these precautions apply only to our Site and systems.

Users Outside of the United States

Hotseat is hosted and operated entirely in the United States and is subject to United States law. Any personal information that you provide is provided to Hotseat solely in the United States and will be hosted on United States servers. You consent to the transfer of your personal information to the United States. If you are accessing Hotseat from outside the United States, please be advised that United States law may not offer the same privacy protections as the law of your jurisdiction.

Your Responsibility for Maintaining the Confidentiality of your Login ID and Password

You are responsible for maintaining the security of your login ID and password. If you believe that your login ID or password have been compromised you should immediately change your password. We are not responsible if someone else accesses your account through registration information they have obtained from you or through a violation by you of this Policy or the Hotseatt Terms of Use.
